Modernize the processes of a pen-and-paper rental industry.

Clipboards, Excel spreadsheets, loose receipts, and scribbled on post-its notes are familiar sights in most construction-related industries. Available SaaS products are generally clunky, dated, or only partially helpful. All of these tools may get the job done, but at a snail's pace and with an abundance of mistakes along the way. Clear organization and efficient processes are often only pipe dreams.

These common pain points played out daily inside NC Equipment’s operation. The software they used to manage order entries for their heavy equipment rentals was built decades ago in FoxPro and constantly glitched, requiring frequent restarts. Simple features such as copy-paste weren’t available, and many processes still required manual input. For example, invoices had to be printed, scanned, and emailed to customers, resulting in numerous errors and occasionally inaccurate billing, flushing earned revenue right down the drain.

When NC Equipment came to us, they were determined to change things—not only for themselves, but for the heavy equipment rental industry in totality. They knew that the right software could revolutionize how things were done.

Get a clear understanding of daily workflows and team interdependencies.

In the Strategy phase, our team performed two shadowing sessions at different stages of the software’s development timeline. Design Strategist Nikita Nilges led the first early session. She primarily focused on the front-office team and on understanding their existing software, manual rental processes, and pain points. For the second session, developer Joel Van Holleback joined Nikita in shadowing the maintenance shop team and understanding their methods for tracking repairs and parts replacements.

These sessions provided valuable context for what our team was building, allowing them to understand what real users go through in their day-to-day operations.

Through the Strategy phase, we identified that the customized software needed to focus on the following:

Track everything transparently.

Valuable time was squandered every day when office personnel had to walk between the office and maintenance shop several times a day to check on the status of a parts delivery or receive constant calls from the field to check on the timeline of a returning rental. Sales information, rental status, equipment maintenance, parts requisition, billing, and invoices all needed precise tracking. Everything needed to be clearly visible to anyone who needed access so that the entire team could work more efficiently.

Automate as much as possible.

No one should have to spend time printing out an invoice just to scan it and then email it. Or flip back and forth between an app and a text message to manually copy over an invoice number. These kinds of tasks were slowing down the team and creating unnecessary errors. Beyond implementing solutions to these easily-solved technology gaps, our team aimed to automate even more important, time-consuming tasks. Automated photo sorting, payment updates, invoice reminders, and project tracking were all processes that could exit the land of sticky notes and phone calls.

Integrate with accounting software.

NC Equipment relied on their accounting software, NewViews, so whatever solution we built needed to integrate seamlessly with it. The accounting software worked well for them; there was no need to rebuild what was already working.

Our team developed a customized unit-tracking system that seamlessly integrated with their accounting system, preserving the critical functionalities they rely on while introducing modern efficiencies. The new system supports billing for equipment rentals on an hourly, daily, and monthly basis, while automating invoice generation, delivery, and tracking.
